Implementation of a complete HR Management system

Background

The company had a complete manual process when established 30 years ago. Over time, the company had implemented systems to streamline the HR process, but these were done in phases, and had different software for different phases. Some were cloud based, some were onsite and some only installed on HR managers’ PC. This made overall HR management quite difficult for the higher management

Challenges

Several aspects of HR such as Recruitment & Onboarding, were still managed manually on excel sheets and physical (Pen and Paper) approval systems. This was a time staking process and a small approval took around 4-5 business days.

As the company grew, it began to face issues. Onboarding was monitored physically, i.e. by actually going and seeing the new joinee.

In order to check salary and payroll, employees had to login into a software which took ages to open and even if it did it would get stuck for quite some time.

Some of the older software (on-site) began giving issues as it was not compatible with the latest Windows 10 and Windows 11 OS. This is where RALLP came in.

Solution

After initial discussions and understanding of the complete HR systems in place, RALLP proposed direct migration to the RBM (HR) allowing a quick solution to the problem. However, the client was hesitant as it would mean training all employees to use a completely new system all at once. 

The company also had unique HR processes when it came to appraisals, recruitment etc. The company was in need of a quick fix for the system for which support had ended, i.e. performance management system especially as the appraisal was just around the corner. So, RALLP first proposed migrating this one system to RBM-HR. After one cycle of the appraisals the whole organisation had become familiar and comfortable with the look and feel of RBM(HR) UI. This made it easy for the client to migrate the remainder of on-site systems to RBM. We proposed a phased manner of migration, from leave management, to salary/payslip and training calendars. The customer thought that the cost of implementation would be high. However, once assured that RALLP charges only a part-fee for addition of subsystems within RBM to an existing project, the budget approval process for the project was smooth.

Once the majority of the systems were in place, RALLP proposed migrating the paper based systems, mainly recruitment to our cloud solution. This way, the HR team can simply send a link to the candidates and they can easily check the available positions, joining dates, required qualifications, skills etc. In case selected, the onboarding process was also on the same portal. And finally once they join the company, the new recruits will already be comfortable with the HR systems as they used it extensively in the recruitment process.
